Reports & live figures
Sales, cash, jobs and enquiries update as the work happens, so you stop waiting for a Friday spreadsheet. Check them on your phone from anywhere.
- Owner's dashboard. The handful of figures you check most, live on one screen and on your phone.
- Tap through to the detail. Tap a figure to see the invoices, jobs or enquiries behind it.
- Profit by job. Labour, materials and subcontractors set against the price, for each job and each type of work.
- Sales and enquiries. Enquiries by source, how many turned into work and what that work was worth.
Customers & CRM
Open a name and see the calls, emails, quotes, jobs and invoices behind it. Nobody in the office has to ask where things are up to.
- Who to chase today. A short list each morning of the enquiries and customers that need a call, warmest first.
- Lead ratings. Mark each enquiry hot, warm or cold so the best ones get a call before the rest.
- Contact timeline. Calls, emails, notes, quotes and invoices in date order on one page per customer.
- Where enquiries come from. Each enquiry keeps its source, whether that was Facebook, Google, a referral or the writing on the van.
Quotes & proposals
Pick items from your own price list, send the quote as a link and see when the customer opens it. If they go quiet, the system follows up on day three.
- Your own price list. Your materials, labour rates and markups stored once and picked from a list when you quote.
- Live totals and VAT. Totals, discounts and VAT update as you add each line, so you see the margin before you send.
- Sent as a link. Customers open the quote on their phone with your logo, photos and terms, and there is no PDF to lose.
- View tracking. You see when a quote was opened and how many times, so you know when to pick up the phone.
Scheduling & bookings
Drag a job to move it and the person doing it sees the change on their phone. Customers can book a free slot themselves, and it goes into your diary.
- Team diary. Everyone's week by person, crew or van, with jobs coloured by type.
- Drag to reschedule. Move a job to another day or person and the people involved get a message.
- The plan on their phones. Each person sees their own day, with addresses and notes, from the night before.
- Online booking page. Customers pick a service and a free slot on your website, and pay a deposit if you want one.
Jobs & projects
Details, photos, drawings, materials and notes stay on the job instead of in WhatsApp groups and inboxes. You can see what is stuck without ringing round.
- Job board by stage. Each live job in columns, with the stuck ones flagged after the number of days you choose.
- Job card. Address, contacts, drawings, photos, checklist and materials for one job on one screen.
- Checklists per job type. A bathroom refit gets a different checklist from a boiler service, and you write both.
- Snags and sign-off. Log snags with a photo, tick them off, and get the customer's signature when it is done.
Field team app
Each person opens the app and sees their jobs, the addresses, the notes and the materials. They take photos, get a signature and finish the paperwork before they drive away.
- Today's jobs. The day's work in order with addresses, contacts, notes and materials.
- Directions in one tap. Open the next address in Google Maps or Apple Maps from the job.
- Routes and rounds. The system orders the stops to save driving, and re-plans the round when you add one.
- Van progress. The office sees which stops are done and when the van should reach the next.
Invoicing, payments & cashflow
Finished work turns into an invoice with a card payment link, and late ones get a reminder on day 7, 14 and 21. Everything goes across to your accounts package.
- Invoice from the job. The invoice uses the quote and job lines, plus any extras the team added on site.
- Card payment link. Each invoice carries a Stripe link, so customers pay by card in two taps.
- Reminders on day 7, 14 and 21. Overdue invoices get chased in your wording, and the reminders stop when the money arrives.
- Direct Debit runs. Monthly fees go out in one GoCardless run, and the system retries failed payments.
Team, HR & rota
Build the rota, approve holidays in a click and see who is trained for what. You get a warning weeks before a certificate or ticket runs out.
- Rota planner. Build the week on a grid, copy last week, and see gaps and overtime as you fill it.
- Holiday requests. Staff ask on their phone, you approve in a click and their allowance updates.
- Absence records. Sickness and other absence logged against each person, with return-to-work notes.
- Timesheets from the phone. Hours logged on the phone or taken from the jobs they worked, ready to check and send to payroll.
RAMS & site safety
Tell the system what the job is and it drafts the risk assessment and method statement for you to check. The crew sign it on their phones before they start.
- RAMS writer. Describe the job in plain words and get a first-draft risk assessment and method statement.
- Your own templates. We set it up with your company format, logo and standard control measures.
- Toolbox talks. Pick a talk, send it to the crew and see who has read and signed it.
- Site sign-in. Each operative signs in on their phone, so you know who was on site and when.
Automations & workflows
Follow-ups, invoices, reminders and reports go out between 11pm and 6am. You wake up to a short list of what the system did and what needs you.
- Overnight board. A list each morning of what went out overnight, with anything that needs a person at the top.
- When this, do that. Rules like 'when a quote is accepted, book the survey', set up in plain English.
- Email and text sequences. Follow-ups on day 1, 3 and 7 that stop the moment someone replies.
- Booking autopilot. A booking confirmed, scheduled, reminded and invoiced without anyone touching it.
Surveys & factory orders
Your surveyor measures and photographs each opening on a tablet. The quote builds from those sizes, and the order goes to the factory without anyone typing it up again.
- Opening-by-opening survey. Width, height, style, opener and glass for each window and door, with photos pinned to it.
- Sizes into the quote. Measurements fill the quote lines, so nobody copies numbers off a pad at night.
- Check measures and remakes. Book a check measure before ordering and log any remake against the original survey.
- Factory order board. Each order moves from ordered to in production, glass due and delivered.
Guarantees & certificates register
Log each install once with its FENSA or Certass number and guarantee. The register reminds you of anniversaries and checks the cover when a customer rings back.
- Registration numbers filed. FENSA, Certass or building control references stored on each install.
- Guarantee end dates. Each product carries its own guarantee length and the date it runs out.
- Anniversary messages. A note to customers on the anniversary of their fit, with a review request if you want one.
- Callback booking. Book a callback from the install record and it goes into the fitter's diary.
Road permits
A skip on the road needs a council permit. The system fills in the application from the booking, keeps track of it and warns you before it expires.
- Permit register. Each permit with its council, reference, placement and expiry date.
- Applications from the booking. Address, size and dates copied into the council form for you.
- Council details stored. Each council's form, fee and turnaround kept on file.
- Expiry warnings. A warning before a permit lapses, while the skip is still on the road.
Vehicle & fleet checks
Drivers tick through the walkaround before they pull out, with photos of any defect. MOT, service, tax and insurance dates for each vehicle sit on one screen.
- Walkaround on a phone. A checklist per vehicle type, done in a couple of minutes.
- Defect photos. Drivers photograph a fault and it goes to the office there and then.
- Off-road flag. A serious defect marks the vehicle off the road until it is fixed.
- Fleet dates. MOT, service, tax and insurance for each vehicle on one list.
Mileage & expenses
Staff log each journey against a job and photograph receipts as they go. At month end they send one claim for you to approve.
- Mileage log. Each journey with the job it was for and the rate.
- Distance worked out. Enter the postcodes and the miles fill in.
- Receipt photos. Snap a receipt and the amount and VAT get read for you.
- Charge to clients. Billable mileage added to the client's invoice.
